General conditions for purchase and participation in package tours
The new Package Travel Act applies to package holidays sold after 1 July 2018. For trips sold before this date, the previous terms apply.


Pkt. 2 - The price of the trip, etc.

The price of the trip includes - where nothing else is stated - transport to the destination, airport taxes, passenger tax, possibly. VAT, accommodation in a shared double room at a hotel or apartment and possibly catering according to the tender material, the website and the travel document.

Child price is only valid if there are two fully paying in a room.

As a starting point, transport between the airport and hotel is not included in the price of the trip - see more under the individual destinations or contact Apollo for further information.

Please note that depending on the airline and destination, there may be surcharges in the form of departure tax, hotel tax, environmental tax, city tax, resort fee or tourist tax. These are paid for in cash and directly at the airport or at the hotel by the traveler.

All orders are subject to an administration fee of DKK 50. pr. person. The administration fee is not refundable in case of cancellation.

Connection trips are only included as part of the trip if they are sold together with the package trip or the flight ticket as part of this.

Expenses for passports, visas, vaccinations, insurance and the like are, unless otherwise stated, not covered by the price, and the responsibility for these lies with the traveler himself. Reference is also made to pkt. 7.

Special hotel facilities such as access to tennis court, mini golf, etc. is usually not included in the price of the trip, just as it must be expected that in some hotels rent is charged for sun loungers, parasols, safety box, internet access, etc.

We point out that all our prices are continuously adjusted up or down depending on supply and demand, often several times a day.
Price appears from the confirmation sent after booking the trip.


Pkt. 3 - Payment, price changes, etc.

For travel within Europe (including countries on the Mediterranean and the Canary Islands), the deposit is DKK 1,400 per person. travelers and possibly cancellation insurance, travel insurance and other fees. For overseas travel, the deposit is DKK 2,500 per. travelers and possibly cancellation insurance, travel insurance and other fees.

Deposit due 5 days after booking. Payment of the balance for travel must be received by the travel agency no later than 60 days before departure. Apollo's Security Package allows in 2021 to pay the balance 30 days before departure (does not apply to group events and flexible travel).
If you book later than 60 days before the day of departure, the entire price of the trip must be received by the travel agency no later than 30 minutes after the order is placed.
When registering via the Internet later than 60 days before departure, the entire price of the trip must be paid immediately, unless otherwise agreed.

For travel, booked with flexible travel length in connection with a package trip, scheduled, charter flight or only hotel stays, the entire price of the trip must be paid when booking the trip.

If the payment terms are not complied with, the travel agency has the right to cancel the trip without notice.

The tour operator reserves the right, before the day of departure, to make such price changes as are due to changes in transport costs (eg fuel prices), taxes, charges or fees (eg airport, take-off or landing charges) or exchange rates, which are used to calculate the price of the trip in question. This also applies even if the trip is paid for in full.

If, for example, the airport fee increases by DKK 100, the price of the trip is increased accordingly.

If the price is increased by more than 8%, the customer is entitled to cancel the trip and have the amount paid refunded without undue delay and no later than 14 days after the cancellation. However, it is a condition that the cancellation is notified to the tour operator immediately after the customer has been notified of the price increase. Otherwise, the traveler is considered to have accepted the price increase.

If taxes or duties, etc., which are imposed on the tour operator directly and which are included in the price of the trip, are reduced or lapse with effect before the day of travel, the tour operator is obliged to reimburse the customer the amount saved. In such cases, the tour operator is entitled to deduct the cost of refund. The tour operator must, at the request of the traveler, provide documentation of these costs.


Pkt. 4 - Change and cancellation before departure

A. At the request of the tour operator

The tour operator has the right to make changes to the trip, which can usually be described as trivial.

If, on the other hand, before the start of the package tour, the tour operator is forced to significantly change one of the most important characteristics of the travel services, the traveler can either accept the change or terminate the agreement without being charged for that reason.

The departure times on the booking confirmation are preliminary. The final ones will appear on your ticket. Apollo Rejser must send the departure times applicable to the trip as soon as possible and preferably 20 days before departure.

The tour operator must, without undue delay, inform the traveler clearly, comprehensibly and clearly about what changes are proposed and about the significance of the package tour price. In addition, the traveler must be given a reasonable deadline for the traveler's notification to the tour operator of his decision and that failure to notify the tour operator before the specified deadline implies that the traveler is considered to have accepted the change.

In addition, the organizer may offer the traveler an offer of a replacement package trip.

If the traveler accepts the proposed changes or agrees to participate in a replacement package tour and this results in the replacement package tour having a lower quality or value, the traveler is entitled to a proportionate reduction in the price.

If the traveler chooses to cancel the agreement, the traveler is entitled, without undue delay and within 14 days after the cancellation, to be refunded all amounts paid under the agreement

In addition, the traveler may, depending on the circumstances, be entitled to compensation for any financial losses, unless it is due to the customer's own circumstances or unavoidable or extraordinary circumstances beyond the tour operator's control, cf. below.

The tour operator may terminate the package tour agreement if the number of people who have signed up for the package tour is lower than 75% of the number of seats Apollo has available on the applicable flight series.
The tour operator must notify the traveler of the cancellation before the deadline specified in the agreement, but not later than

1) 20 days before the start of the package journey, if the duration of the journey is more than 6 days,

7 days before the start of the package journey, if the duration of the journey is between 2 and 6 days, or

3) 48 hours before the start of the package journey, if the duration of the journey is less than 2 days.

In addition, the tour operator may terminate the package tour agreement if the tour operator is prevented from fulfilling the agreement due to unavoidable and extraordinary circumstances, and the tour operator notifies the traveler of the termination of the agreement without undue delay and before the package tour begins.

In such cases, the traveler is entitled to a refund of all amounts paid under the agreement, without undue delay and no later than 14 days after the termination. However, this does not apply to a possible premium for cancellation insurance, as this coverage is a separate agreement that already takes effect upon the purchase of the package tour. The traveler is also not entitled to compensation

If the customer wants to make a claim due to the change, the customer must notify the tour operator as soon as possible after the customer has been informed of the change or the cancellation. Failure by the customer to do so may affect the processing of the claim.
 By as soon as possible is meant, unless otherwise stated, 3 weeks after receipt of notice of change.


B. Changes and cancellations at the customer's request

1) Changes

If, after payment of the deposit and / or the price of the trip, the customer wishes to make changes with regard to place of departure, time of travel, destination, hotel, travel participants, etc., and provided that the travel agency confirms that such a change is possible, the following rules apply:
In the event of changes to travel that are notified to the travel agency and confirmed by this no later than 60 days before the originally agreed travel date, the travel agency is entitled to charge a change fee. The change fee is calculated on the basis of the additional work and the additional costs that the change entails, however min. DKK 300 pr. person.
Any price differences in relation to the price at the time of purchase are charged to or refunded to the customer.

If the change is solely due to the fact that the original price of the trip has fallen, this is not possible. It is allowed to change your trip to another hotel category, different hotel, different room type, different departure date or similar, which is not the same product as originally booked.
In the event of a change, all previous discounts will lapse.

The change fee is paid at the same time as or immediately after the change, so that at least the full deposit on the trip has been paid.

Changes such as the above, which are notified to the travel agency and confirmed by this later than 60 days before the originally agreed travel date, the travel agency is entitled to consider as cancellation (cf. below) and new subscription.

When changing a trip on which a 3rd, 4th, 5th or 6th person discount / extra bed discount has been granted or a surcharge has been charged for a single room or double room as a single room: See below under 2c.

2) Cancellation

2a)
The customer has the right to cancel the trip before departure. In such cases, the tour operator may charge a reasonable, standardized cancellation fee, which is set taking into account the time of cancellation and the nature of the package tour. The customer must be informed of such terms both before and at the conclusion of the travel agreement.

When canceling a trip, the following rules apply (per person):

a) If canceled no later than 60 days before the agreed travel day, the amount paid by the customer will be refunded with a deduction of an amount corresponding to the deposit (DKK 1,400 or DKK 2,500) and possibly cancellation insurance, travel insurance and other fees.

 
b) If canceled later than 60 days before and no later than 21 days before the agreed travel day, the travel agency has the right to calculate 60% of the price of the trip, however a minimum of DKK 1,400 or DKK 2,500 and possibly cancellation insurance, travel insurance and other fees.
 
c) If canceled later than 21 days before and no later than 7 days before the agreed travel day, the travel agency has the right to calculate 80% of the price of the trip, however a minimum of DKK 1,400 or 2,500 and possibly cancellation insurance, travel insurance and fees.
 
d) If canceled later than 7 days before the agreed travel day, in case of late arrival or in the event of the customer's absence without cancellation, the customer is not entitled to a refund of any part of his payment.
Absence or late arrival is considered a cancellation of the entire trip.

 
e) In the event of cancellation in cases where there is a flight with scheduled flights, and the travel agency can not get a refund of the flight ticket from the airline, the travel agency has the right to calculate what corresponds to the price of the flight ticket and deposit (DKK 1,400 and DKK 1,400, respectively. 2,500) and possibly paid fees. The travel agency must document to the customer that the flight ticket is non-refundable.

2b)
The traveler may also cancel a journey before the start of the journey if unavoidable and extraordinary circumstances occur at the travel destination, or in the immediate vicinity thereof, which significantly affect the delivery of the package or the carriage of passengers to the destination.

In case of cancellation, the traveler is entitled to a refund of all amounts paid under the agreement. However, this does not apply to a possible premium for cancellation insurance, as this coverage is a separate agreement that already takes effect upon the purchase of the package tour.
Refunds must be made without undue delay and no later than 14 days after the traveler's cancellation of the trip

2c)
If a final paid trip, on which a 3rd, 4th, 5th or 6th person discount / extra bed discount has been granted, is changed or canceled by the traveler, the amount paid will be refunded less the discount for 3rd, 4th, 5th and 6th respectively. person as well as other deductions and fees. If the trip is not paid in full, the price for the other travelers will be increased with the discount. The same also applies where a cancellation or change means that the customer must subsequently have a single room or double room as a single room.

Special rules may apply for changing and canceling group travel.

2d)
Round trips, cruises and individual trips (see point 1) are non-refundable upon cancellation. However, it is possible to purchase a cancellation insurance via Gouda. This must be done at the same time as booking the trip, and the cancellation insurance is valid according to Gouda's conditions.

If flight taxes are refundable, this amount will be refunded. Apollo examines this in each individual case, however for a fee of DKK 500 per. person.

Package travel with flexible travel length or scheduled flights, can in principle not be changed or refunded after purchase.

When canceling a package tour with a cruise, the customer will be charged the fee that the suppliers charge Apollo. In addition, a cancellation fee of DKK 500 is required. Any difference will be refunded to the customer.

3a) Name change

If the customer's name needs to be changed on the booking confirmation / ticket because it is either misspelled, because a middle name is missing, because the customer has changed name or similar, Apollo is entitled to consider this as a cancellation and new subscription. Reference is made to fees for cancellation under pkt. B 2 2a above.

Name changes can usually not be made later than 7 days before departure. In cases where it is possible to change, the change fee is DKK 300, -, and possibly. change fee charged by e.g. airlines. Insurances are not transferable to others

For individual journeys (see point 1), a name change is considered a change.

C. Cancellation insurance

At the conclusion of the agreement, the organizer must inform the customer about the possibilities and conditions for purchasing a cancellation insurance. The cancellation insurance can only be taken out in connection with the travel's booking and can not be canceled subsequently (read, however, below about the right of withdrawal).
If the customer has purchased cancellation insurance, the customer can cancel the trip until departure and have the amount paid refunded without any deduction other than the actual premium for the cancellation insurance, provided the conditions for this are met.

Apollo's cancellation insurance does not apply to package holidays with flexible travel length, scheduled flights or only hotel accommodation. Furthermore, it does not apply to flexible travel with cruises or events.

Pkt. 10 - Individual travel with only flights (scheduled or charter flights) and flexible travel length.

Applicable to individual journeys (see point 1) with only flights, scheduled or charter flights and flexible travel length.

10.1. When traveling with only planes with flexible travel length (scheduled or charter flights), you are not covered by the Package Travel Act. Apollo here acts only as an agent of the airline. The airline in question is responsible for flight time changes, canceled flights, luggage, etc. Any complaints or claims are addressed directly to the airline.

10.2. It is the traveler's own responsibility to check and keep up to date with any time changes, and Apollo is not responsible for any additional costs that may arise. We recommend that you ALWAYS check the departure times with the airline via www.checkmytrip.com.

10.3. For questions regarding the airline's rules, handling and price of luggage, etc. refer to the airline's website.

10.4. When booking only flights and individual travel lengths, scheduled or charter flights, it is not possible to use the return journey only if you have not used the departure. Unused flight routes are automatically canceled by the airline and are beyond Apollo's control.

10.5. Flights with 2 different booking numbers, ie. journeys consisting of 2 or more single journeys are handled as separate journeys, completely independent of each other. When purchasing separate airline tickets (flights only), Apollo is not responsible for non-refund of time changes, delays or canceled flights.
